Define the caller journey
Write down where an inbound call should go during business hours, when nobody answers and outside working hours. Decide whether callers should reach one person, a shared queue or a recorded message. Do not assume these capabilities are included in every service.
Assign a responsible person
Someone needs to maintain the account, update routing and remove former team members. Decide who can change the destination, view call records or export messages. Shared responsibility without a clear owner can create gaps.
Ask about interruption
Discuss internet outages, device changes, number portability and cancellation before committing. Keep an alternative contact method available. Do not depend on an unconfirmed virtual-number product for emergency calling; establish its emergency-service limitations with the provider.
Keep a useful service record
A practical record contains the service contact, account ownership, renewal date and authorised administrators. Store account secrets in an appropriate secure system, not in a general planning note or this website’s enquiry form.
